Streamlined Patient Onboarding with Automated OCR Documentation
Clinic staff were losing significant time to manual insurance verification. We engineered a highly secure digital patient portal featuring real-time EHR integration and AI-driven automated insurance document reading, optimizing the entire onboarding flow.
The Challenge
Intake coordinators at the clinics spent a large portion of their day manually transcribing patient records and verifying insurance cards—a slow, error-prone process that frustrated patients and bottlenecked clinic capacity.
Our Role
We acted as the end-to-end product development partner, moving aggressively from user research to full-stack engineering of a secure patient and administrative portal.
The Outcome
The custom digital portal automated insurance verification using machine learning algorithms and established a seamless biometric login for patients. This eliminated significant manual administration per staff member.
Confidential client
A large network of outpatient clinics that required modernization to handle increasing patient intake volumes securely.

Technologies
The Challenges
As the medical group scaled, their paper-based patient intake processes became a bottleneck to growth. They needed a software partner capable of navigating complex healthcare data privacy requirements while delivering a consumer-grade UX that elderly patients could easily adopt.
Manual Insurance Verification
Staff had to photocopy physical ID and insurance cards, manually enter the data into legacy EHR systems, and phone insurance companies to check active statuses.
Fragmented Electronic Health Records
The provider operated multiple legacy EHRs acquired through mergers that didn't talk to each other.
Technical Decisions
Choosing FHIR Standards immediately
Instead of writing direct mapping scripts for each disparate EHR system, building a central FHIR adapter immediately future-proofed the architecture for further clinic acquisitions.
Server-side OCR processing
Running machine learning models locally on patients' varied mobile devices proved unreliable. Moving the OCR to secure serverless endpoints guaranteed consistent accuracy regardless of the user's phone hardware.
UX & Product Thinking
What We Learned
Older demographics struggled heavily with multi-step digital forms, leading to high drop-off rates before the clinic visit.
What Changed
We split the pre-registration into a highly conversational, one-question-per-screen interface and prioritized massive tap targets.
The Why
Healthcare UX must prioritize accessibility over aesthetics. Minimizing cognitive load directly correlated with higher pre-completion rates.

Engineering Architecture
Building the platform required strict adherence to healthcare software best practices. We utilized an isolated cloud architecture combined with custom FHIR adapters to securely aggregate data across disconnected legacy systems.
AI / Data Extraction
Implemented serverless functions utilizing Vision AI to extract text from user-uploaded images, classifying document types securely.
