Custom Software for Local Businesses That Have Outgrown a Website Builder

We build booking systems, ordering flows, customer portals and staff dashboards for clinics, salons, restaurants, shops, trades and multi-location businesses in the US, UK and beyond. This is for businesses whose website already brings people in, but whose bookings, orders and follow-ups still run on phone calls, plug-ins and spreadsheets. If you only need a brochure website, we will tell you, and a website builder is usually the better buy.

Key Facts

Small Business Software at a Glance

Custom software for small and local businesses with AI Dev Planner: typical cost, timeline, communication, warranty, ownership, hosting and stack.
Typical cost (GBP)A focused first version, such as a booking or ordering app, is planned like an MVP at about £25,000–£45,000 (GBP), from our published pricing. Multi-location systems and customer portals cost more. Quoted after discovery.
Typical timelineAround 8–16 weeks for a first version. This is derived from our published MVP timelines, as used in the MVP cost calculator; your timeline is agreed after discovery.
CommunicationA dedicated Slack channel and bi-weekly video walkthroughs of working software
Warranty60–90 days on defects in what we delivered
OwnershipYou own the full IP: source code, database design and documentation
HostingIn the cloud region you choose, such as the UK, EU or US
StackNext.js, Supabase Auth, PostgreSQL, Stripe and your existing tools

Ranges are planning figures from our published guides, not quotes. A simple marketing website costs far less than this, and we do not sell one.

Signs Your Business Has Outgrown Its Website Tools

Bookings Arrive by Phone, Message and Form

Customers book through calls, DMs, a contact form and a booking plug-in, so double bookings and missed requests are routine.

The Website and the Business Disagree

Prices, availability or stock on the website are out of date because they are updated by hand, separately from the till or the diary.

Add-On Fees Keep Growing

Each new need adds another plug-in, per-booking fee or subscription, and the tools still do not talk to each other.

No Clear Picture Across Locations

Owners piece together bookings, revenue and staff hours from several systems to see how each site is doing.

Actual Deliverables

What We Build for Small and Local Businesses

Online Booking and Scheduling

Booking built around your real rules: staff, rooms, equipment, service durations, buffers, deposits, cancellations and reminders, with a calendar your team works from.

Ordering and Quote Requests

Click-and-collect, pre-orders, catering or trade orders, and structured quote requests that arrive with everything your team needs to price the job.

Customer Accounts and Portals

Logins where customers rebook, see their history, pay invoices or download documents. See our customer portal development page for larger portals.

Staff and Owner Dashboards

Day sheets, job lists, stock and takings per location, replacing spreadsheets and end-of-day reconciliation. Larger back-office systems are covered by our internal tools development service.

Payments and System Integrations

Card payments and deposits through providers such as Stripe, plus connections to the CRM, accounting, POS or calendar tools you already use, so data is entered once.

A Connection to Your Existing Website

The application works alongside the website you already have, whether that is on a builder, WordPress or custom code, so you keep your current site and its search rankings.

Website, Builder Add-Ons or a Custom Web Application?

Is Custom Software the Right Call for Your Business?

This is for you if

  • Your booking or ordering does not fit the add-ons

Appointments depend on staff skills, rooms, equipment, deposits or travel time, or orders need rules that standard booking and shop plug-ins cannot express.

  • You run more than one location

Each site has its own staff, hours, stock or prices, and you need one system that keeps them consistent instead of separate tools per branch.

  • Staff re-key the same information

Bookings, orders and customer details are copied between the website, the till, the calendar and the accounts, and mistakes cost you customers.

  • Customers ask for self-service

Regular customers or business clients want to log in to rebook, see their history, pay invoices or download documents without calling you.

Not the right fit if

  • You need a website to be found and contacted

If the goal is a professional site with your services, photos, reviews, opening hours and a contact form, a website builder or a local web designer is the better buy.

  • Standard booking already works

If an off-the-shelf booking or ordering tool covers how you work with minor configuration, keep it and spend the money elsewhere.

  • A budget well below £25,000 (GBP)

Our published planning range for a first version starts around £25,000 (GBP), so smaller budgets are usually better spent on a builder, add-ons and local SEO.

How a Small Business Software Project Runs

01

How Customers and Staff Work Today

Map

We map how bookings, orders and customer details move through your business now, which tools you already pay for and what to keep, then agree a first version with a clear scope and budget.

02

One Workflow First

Build

We build the workflow that costs you the most time or customers, usually booking or ordering, and show working software in bi-weekly video walkthroughs.

03

Run It Alongside the Old Process

Launch

The new system goes live with real customers while the old process stays available, followed by staff training, documentation and handover.

Proven Experience

Small Business Work Under NDA

How we share evidence

Client projects are usually covered by confidentiality agreements, so we do not name clients or publish their figures here. Ask for an architecture walk-through on a call, where the engineers who did the work explain the decisions they made and why.

Risk Vectors

Why Custom Software Costs More Than a Website

It Runs Part of Your Business

A website shows information; booking and ordering software takes payments, holds customer data and has to work every day, so it needs proper design, security and testing.

Integrations Drive the Budget

Each connection to a till, calendar, accounting or CRM system adds work, so we agree during discovery which ones the first version really needs.

Technical Defense

How We Keep It Proportionate

Keep What Already Works

We recommend keeping your website, Google Business Profile and any tools that already work, and build only the part that standard tools cannot do.

Phased Delivery

The first version covers one workflow for one location; more locations, portals and integrations follow once it has paid its way.

What You Keep

Ownership, Security and Handover

Code and accounts in your name

We recommend the repository lives in your own GitHub or GitLab organisation from day one, with hosting, domains and third-party services in accounts your company controls. You can see every commit as it happens.

You own the bespoke work

You receive full IP in the source code, database design and documentation we write for you. Open-source and third-party components stay under their own licences, and we list them. The exact ownership wording is set out in each project's contract and our terms of service.

Security built into the build

Secrets stay in server-side configuration rather than client code, access rules are enforced on the server and in the database rather than only in the interface, and production access is limited to the people who need it.

Documented handover, then a warranty

Before handover you receive setup and deployment documentation, environment configuration and a walkthrough, so your own developers or another team can take over. A 60–90 day warranty after launch covers defects in what we delivered; ongoing support is optional and scoped separately.

For UK Teams

Booking and ordering software for UK local businesses

UK clinics, salons, hospitality venues, retailers and trades usually come to us when the booking plug-in or online shop on their website no longer matches how they work: appointments that depend on a particular practitioner or room, deposits and cancellation rules, trade accounts, or several branches with their own hours and staff. We build the booking, ordering or customer account system around those rules, priced in GBP from about £25,000 for a focused first version.

We do not design brochure websites. If your main need is to be found on Google and contacted, a website builder or a local web designer, plus a complete Google Business Profile, is the more proportionate spend. Our website cost guide covers UK price points.

We have no UK office; our team works from Islamabad, four to five hours ahead of the UK, with hosting in a UK or EU region of a cloud account your business controls.

Small Business Software Development: Common Questions

Do you build websites for small businesses?+
Not brochure websites. If you need a site that shows your services, prices, photos, reviews, location and contact details, a website builder or a local web designer is usually quicker and far cheaper. We build the software behind the website: booking systems, ordering, customer portals, staff dashboards and integrations, for businesses whose standard tools no longer fit how they work.
What is the difference between a website and a web application?+
A website mainly presents information: who you are, what you offer and how to contact you. A web application lets people do things: book an appointment against real availability, place an order, log in to see their history, or let staff manage jobs. Most local businesses need a website. A web application is worth building when bookings, orders or customer accounts are central to the business and off-the-shelf add-ons do not fit.
How much does custom booking or ordering software cost?+
A focused first version, such as a booking or ordering app for one location, is planned like an MVP at about £25,000 to £45,000 (GBP), based on our published pricing. Multi-location systems, customer portals and several integrations cost more: our published ranges are from about £40,000 for internal tools and from about £60,000 for customer portals. These are planning figures, not quotes; we quote after discovery.
Should we use a booking add-on or build our own system?+
Use an add-on if it fits. Standard appointment and shop tools are cheap and quick to set up. Custom software makes sense when your rules do not fit them, for example appointments tied to specific staff, rooms or equipment, deposits and cancellation policies, trade pricing or several locations, or when add-on fees and double data entry cost more than a system you own.
Can the new system work with our existing website?+
Yes. We usually connect the booking, ordering or customer account system to the website you already have, whether it is on a builder, WordPress or custom code, so you keep your current site, content and search rankings. Booking and account pages can sit on a subdomain or be linked from your existing pages.
Will custom software help us rank higher on Google Maps?+
Not on its own. Google says local results are based mainly on relevance, distance and prominence, and a complete Google Business Profile and genuine reviews matter most. Custom software helps after someone finds you, by making it easier to book, order or come back, and by keeping your prices, hours and availability accurate wherever they appear.
Who owns the software and the customer data?+
You do. You own the full IP, including source code, database design and documentation, and your customer data stays in your own database and cloud accounts, with no per-booking fees to us. A 60 to 90 day warranty period covers defects in what we delivered, after which you can support it yourselves or move to a maintenance retainer.
