AI Integration Services: Add AI to the Software You Already Run

We connect large language models to the systems your business already depends on, such as your CRM, document stores, databases and operational tools, so AI works on your real data with the right permissions. If you are building a new AI product rather than extending existing software, see our AI development services.

What AI Integration Means, and What It Does Not

Beyond a Chatbot Wrapper

A chat window on top of a public model knows nothing about your business. Integration means connecting the model to your real systems and data, with the same permissions your software already enforces.

Data Stuck in Separate Systems

Knowledge sits across the CRM, shared drives and databases, so staff spend time searching and re-keying instead of acting on it.

Pilots That Never Reach Production

Demos built on sample data impress, then stall when they meet real documents, real access rules and real usage costs.

Actual Deliverables

Common Integrations We Build

Private RAG Search Over Company Data

Search and question-answering over internal documents and records, grounded in your own sources and citing them, without making those documents public.

AI Features Inside Existing Apps

Drafting, summarising and classification added to the CRM, helpdesk or internal tool your team already uses, through its APIs or extension points.

Document Extraction Into Your Database

OCR pipelines that read scans and photos and extract structured data, with validation checks before anything reaches your systems.

Agents That Write Validated Records

AI-assisted steps that turn unstructured input into validated records in your SQL database, with limits and audit logs.

Permission-Aware Access Control

Retrieval filtered by the signed-in user's permissions, so the AI cannot surface data that user should not see. For regulated or sensitive data, see our secure AI development service.

Evaluation and Monitoring

Test sets built from real examples, plus production monitoring of answer quality, latency and usage costs, so problems are caught early.

Build In-House or Use a Specialist?

This is for you if

  • You have a specific use case

You can name the process AI should help with, such as answering from internal documents or extracting data from forms.

  • Your data lives in existing systems

The value depends on connecting AI to your CRM, documents or database, not on a standalone chatbot.

  • Access control matters

Different users are allowed to see different data, and the AI must respect that.

  • Your team lacks AI production experience

Your developers know your systems but have not shipped retrieval, evaluation and monitoring for LLMs before.

Not the right fit if

  • An off-the-shelf AI feature already works

If the AI built into a tool you already use does the job, use it.

  • There is no clear use case yet

AI integration works best when the problem is defined. Start by identifying the process worth improving.

  • Your team already ships production AI

If you have in-house experience with retrieval, evaluation and monitoring, you may only need an architecture review.

How an AI Integration Project Runs

01

Map Systems, Data and Access

Audit

We review the use case, the systems involved, where the data lives, its quality and who is allowed to see what, then agree what success looks like.

02

Prototype on Your Real Data

Prototype

We test accuracy, response time and cost against real examples from your business in a staging environment, so you can decide whether a production build is worthwhile.

03

Production Integration

Build

We connect the AI to your systems behind access controls, with output validation, logging and audit trails, shown in bi-weekly video walkthroughs.

04

Evaluate and Monitor in Production

Monitor

After release we monitor answer quality, latency and usage costs, and re-run evaluations when your data or model versions change.

AI Integration Work Under NDA

Enterprise Verification

Engineering integrity is our only metric. Per strict institutional Non-Disclosure Agreements governing this capability space, we do not publicly disclose internal client profiles, metric hallucinations, or unmapped claims.

Risk Vectors

Common AI Integration Risks

Data Leaking Across Permissions

A retrieval system indexed without access rules can show one user documents that only another user should see.

Running Costs That Creep Up

Token usage, embeddings and repeated queries add ongoing costs that are easy to underestimate at the prototype stage.

Technical Defense

How We Reduce Those Risks

Access Rules at the Data Layer

Permissions are applied when data is retrieved, not only in the interface, and every AI request is logged for audit.

Caching, Limits and Cost Monitoring

Frequently used embeddings and results are cached, usage limits are set, and costs are tracked from the prototype onwards.

Common Questions

Can you add AI to our existing software without rebuilding it?+
Usually, yes. Most AI integrations connect to existing systems through their APIs, databases or extension points, so the software your team relies on stays in place. We add AI where it helps, such as search over internal documents, drafting inside your CRM or extracting data from forms, and leave the rest of the system untouched.
Which AI models do you work with?+
We choose models per use case rather than forcing one provider. Our builds typically use enterprise model APIs such as OpenAI, alongside PostgreSQL vector search for retrieval and Google Cloud Vision for document OCR. If your organisation already standardises on a cloud or model provider, we build within it.
Do we need to train our own model?+
Rarely. For most business use cases, a pre-trained foundation model combined with retrieval-augmented generation (RAG) over your own documents and data gives grounded answers without the cost of training a model. We recommend the simplest approach that meets your accuracy target, and test it against real examples before committing to a full build.
How do you stop the AI exposing data a user should not see?+
By applying the user's permissions when data is retrieved, before anything reaches the model. Documents and records are indexed with their access rules, and the retrieval layer only returns what the signed-in user is allowed to see. Requests are logged for audit. For regulated or sensitive data, our secure AI development service adds private model deployment and prompt-injection defences.
What does an AI integration cost?+
We do not publish an AI price list, because cost depends on the number of use cases, the state of your data, the systems involved, your security requirements and ongoing model usage fees. We scope the work in a discovery phase and quote against that scope. A prototype on your real data is often the first step, so you can see results before committing to a full build.
How do you test and monitor AI quality?+
Before release, we build test sets from real examples and measure accuracy, response time and cost against them. Model outputs are validated against typed schemas before other systems use them. After release, we monitor answer quality, latency and usage costs, and re-run evaluations when your data or model versions change.
Where is our data processed and stored?+
Your data stays in databases and cloud accounts you control, with UK or EU hosting regions available. Calls to third-party model providers are made under their enterprise terms, and we document which data is sent to which service. For sensitive or regulated data, we can design the integration around private model deployment.
Who owns the prompts, code and integration?+
You do. You own the full IP in the source code, prompts, data pipelines and documentation we build, kept in repositories and accounts you control. Third-party foundation models remain under their providers' licences, and we document which components are yours and which are licensed.
